1. Information We Collect

On our website

We collect information that you provide directly to us through our contact forms, including your name, email address, phone number, company name, and any messages you send.

We also automatically collect certain information about your visit to our website, including:

• Pages you visit and time spent on each page
• Buttons and links you click
• Videos you watch and how long you watch them
• How far you scroll down pages
• Your device type, browser, and operating system
• Your IP address and approximate location

In Theta Command (our client portal)

• Your name, email address, and phone number, so you can sign in and we can reach you
• What you share with us there: messages, files, feedback and approvals on our work, and the details of your business you give us
• Recordings and transcripts of calls, where a call is recorded (you'll see when it is)
• Invoices and payments. Card and bank payments are processed by Stripe; we never see or store your full card number
• Data from accounts you connect for us — see section 4

2. How We Use Your Information

We use the information we collect to:

• Provide the services you've hired us for, and run your client portal
• Respond to your inquiries and provide customer service
• Report your marketing results back to you
• Send you marketing communications (with your consent)
• Understand how visitors use our website and improve user experience
• Protect against fraud and abuse
• Comply with legal obligations

3. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to enhance your browsing experience and collect analytics data. You can control cookies through our cookie consent banner and your browser settings.

4. Accounts You Connect (Google, YouTube, Meta)

To run and report on your marketing, you can give Theta Command access to accounts of yours. We only ever see what you choose to connect, and you can disconnect at any time.

What we do with that data

• We use it only to show you and our team your own results — in Theta Command and in the reports we prepare for you — and to deliver the services you've hired us for.
• We never sell it, never use it for advertising, and never share it with anyone else, except the service providers that host Theta Command for us, or where the law requires.
• We don't use it to train AI models.
• Access keys are stored encrypted, and the data is kept on our secured servers.

Theta Command's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Theta Command uses YouTube API Services. By connecting YouTube, you also agree to the YouTube Terms of Service, and the Google Privacy Policy applies to Google's handling of your data.

Disconnecting and deletion

You can disconnect at any time: remove Theta Command from your Google account's third-party connections (see also Google's security settings), remove our address from your Google Analytics property, or remove Theta State Studios as a partner in Meta Business Suite. Once you disconnect, we stop collecting new data. Email us and we'll delete the data we've stored from that account within 30 days.

5. How We Share Your Information

We do not sell your personal information. We may share your information with:

• Service Providers: Companies that help us operate — website and portal hosting, email delivery, payment processing (Stripe), and analytics — only as needed to provide their service to us
• Legal Requirements: We may disclose information if required by law or to protect our rights

6. Data Retention

We retain your personal information for as long as necessary to fulfill the purposes outlined in this privacy policy, unless a longer retention period is required by law (for example, billing records). Website analytics data is stored in your browser session and cleared when you submit a contact form. Data from connected accounts is deleted within 30 days of your request, as described in section 4.

Depending on your location, you may have the following rights:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your information
• Disconnect any account you've connected
• Opt out of marketing communications
• Withdraw consent for analytics tracking

Our website and Theta Command are not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13.

We implement reasonable security measures to protect your personal information, including encrypting the keys to accounts you connect. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
